DJs attach documents to a proposal covering the practical and legal side of the booking. There are eight standard ones, and your DJ will pick the ones relevant to your event.

## The documents

**Cancellation & Refund Policy** — the deadline for cancelling with a full refund, what fee applies after it, and how long refunds take. Usually requires a signature.

The most important one. It's where the date in your proposal terms is spelled out properly. Read it.

**Safe Environment Agreement** — expectations for a secure and respectful space: crowd management, protecting the DJ's equipment, and how you'll communicate if something goes wrong. Usually a checkbox.

Common for bars, clubs, and university events.

**Music Requests Policy** — how guest requests are handled, when your must-play and do-not-play lists need to reach the DJ, and any limits on last-minute requests.

Worth reading closely for a wedding. If you want to control what guests can request, this is where it's agreed.

**Equipment & Tech Policy** — what the DJ provides and what the venue must supply, plus setup and breakdown times.

Check this against what your venue actually has. It's the document that prevents arriving to a room with no power outlet where the DJ needs one.

**Force Majeure / Emergency Policy** — what happens if weather, an emergency, or a restriction stops the event: rescheduling, refund options, or an alternative DJ.

Worth having for outdoor events and anything booked far ahead.

**Insurance & Liability Waiver** — insurance limits and who's responsible for what. Some venues ask to see this.

**Social Media & Recording Release** — whether the DJ can record and share content from your event, and what you don't want shared.

If you'd rather your event didn't appear on anyone's social media, this is where to say so. Raise it before signing.

**Parking & Venue Access** — load-in access and parking arrangements.

## Read before signing

These are the terms of your booking. If something doesn't match what you discussed, message your DJ before completing it — they can revise the proposal. Once completed, it's a record.

## Keeping copies
